What Power BI actually is

Microsoft's business intelligence and data visualisation tool. Imports data from spreadsheets, databases, APIs, web pages. Lets you build interactive dashboards with charts, filters and drill-downs. Publishes those dashboards to colleagues who can view them in a browser or phone app.

The desktop version is free. The collaboration/sharing version (Power BI Pro) is ₹800–₹1,500/user/month.

1. The Excel ceiling

Spreadsheets break down past a few thousand rows or a few users editing simultaneously. Power BI handles millions of rows and scales to entire teams.

2. Real-time decision-making

Excel dashboards require someone to re-run them. Power BI dashboards auto-refresh from live data sources.

Owners can check sales dashboards from their phone on the road.

4. Multiple data sources in one place

Sales from Tally, marketing from Meta Ads, customer service from a CRM — all combined into one dashboard.

The Power BI workflow

Step 1: Connect to data

Power BI has 100+ built-in connectors. Excel files, CSV, SQL Server, MySQL, Google Sheets, Salesforce, REST APIs, Web pages.

Step 2: Clean and transform

Using Power Query, you reshape data without touching the original source. Remove blanks, merge columns, change types, add calculated columns.

Step 3: Build the data model

Relationships between tables. Calculated measures using DAX (Power BI's formula language).

Step 4: Create visualisations

Drag and drop. Bar charts, line charts, maps, slicers, KPIs. Format for clarity.

Step 5: Publish and share

Upload to Power BI Service. Share with colleagues. Set up scheduled refreshes.

The big shift in the field
